HighLevel for accountants: clients reminded, paperwork in, fewer last-minute panics

Every January it's the same. Clients who've known about the deadline all year suddenly send a carrier bag of receipts. You chase, they ignore, you chase again. I can't make clients organised, but I can make the chasing happen without you.

How a late return stacks up

The penalty grows while the return stays unfiled

These are HMRC's published Self Assessment late-filing penalties, not a quote and not one client's bill. The later charges depend on the tax due, so they are not drawn as a pretend total.

GOV.UK, Self Assessment tax returns: penalties. Last checked 14 October 2026.

  1. 1 day late
    Initial penalty £100

Charged for sending the return late.

  2. After 3 months
    £10 a day, up to £900

Daily penalties on top of the initial penalty, up to the published maximum.

  3. After 6 months
5% of the tax due, or £300

Whichever is greater. The tax due is theirs, so this is not a fixed bar.

    Depends on the tax due

  4. After 12 months
    Another 5%, or £300

Whichever is greater, on top of the earlier penalties.

    Depends on the tax due

Late filing gets more expensive the longer it sits

HMRC publishes the late-filing penalties for Self Assessment, and they stack. An initial £100 penalty. After 3 months, £10 a day, up to a maximum of £900. After 6 months, a further penalty of 5% of the tax due or £300, whichever is greater. After 12 months, another 5% or £300 charge, whichever is greater.

I have not added those up into one client's bill. The 6-month and 12-month charges depend on the tax due, and the page does not publish an interest rate, only that interest is charged if the tax is late. Paying late is a separate penalty: 5% of the tax unpaid at 30 days, 6 months and 12 months. If a partnership return is late, every partner is charged.

Deadline reminders at 90, 60, 30 and 7 days

I add each client's key dates to their record in HighLevel:

  • Self-assessment
  • VAT returns
  • Corporation tax
  • Confirmation statements

Then reminders go out 90, 60, 30 and 7 days before each one, by email or text. Each reminder has a link to upload their paperwork or book a slot with you. You write the wording once, in your tone, and it runs every year.

03

Stop when they've done it

When a client sends their documents or books in, they can be moved along so the reminders stop. No awkward "please send your records" message after they already have.

04

See who's outstanding

A simple pipeline shows who's sent everything, who's part way and who's gone quiet. You can see at a glance who needs a phone call.

05

New enquiries

When a prospective client gets in touch, they get a reply straight away and you get a task to call them back. Handy in busy season.

06

What it costs

Texts are charged as you send them. Platform and set-up are on my automation page.
